Family Portal Privacy Notice
Theotokos Junior Academy values the privacy and trust of our families. This notice explains what information we collect through the Family Portal, how we use it, who can access it, and the choices available to parents and guardians. We use family and student information only to support Academy programs, communication, portal access, and ministry administration.
How Family Portal Information Is Handled
These sections summarize the information used by the TJA Family Portal and the safeguards surrounding its use.
Information We Collect
Parent or guardian information may include name, email address, phone number, city and state, church, account status, and registration or consent information. Student information may include first and last name, grade, optional student email, selected programs, enrollment information, and portal status. TJA does not currently collect a student date of birth through the Family Portal.
How We Use Information
Information is used to administer family accounts, process registrations, confirm grade eligibility, manage program enrollment, communicate with families, provide approved resources, and maintain necessary Academy records.
Parents & Guardians
The parent or guardian is the primary Family Portal account holder. TJA reviews family registrations before parent portal access is activated. Parents and guardians are responsible for keeping family information accurate and for protecting their account credentials.
Who Can Access Information
Information may be accessed by authorized TJA administrators and, when appropriate, assigned servants or teachers who need the information to support their responsibilities. The Family Portal does not provide a public student directory or public student profile.
Information Security
TJA uses WordPress authentication, role-based access, administrative controls, and reasonable technical and organizational safeguards to protect Family Portal information. No online system can be guaranteed to be completely secure, so families should also protect their passwords and account access.
Retention & Deletion
Information is retained while needed for Academy operations, program administration, communication, and legitimate recordkeeping. Parents or guardians may request correction or deletion of portal information, subject to records TJA may reasonably need to maintain for administrative purposes.
Email Communications
Parent and student email addresses, when provided, may be used for Academy-related communication. The parent account approval process does not depend on successful email delivery. Families should keep their contact information current so TJA can communicate effectively.
Website & Service Providers
The Family Portal operates through WordPress hosting, email services, and related technical providers used to support the Academy website and communications. These services may process information as needed to provide their technical functions.
Parent / Guardian Choices
Parents and guardians may contact TJA to request reasonable corrections to family or student information, ask questions about portal records, or request account deletion where appropriate.
Changes to This Notice
TJA may update this Privacy Notice when portal practices, technology, or administrative needs change. The current version will be posted on this page with an updated effective date when appropriate.
Children & Family Participation
Parents and guardians manage information for younger students through the family account. A separate student login is optional and is created only when a student email is provided and the student account is approved for portal access.
Family Information Is Not Public
TJA uses portal information to support Academy operations and student formation—not to create public profiles.
Parents, students, and servants receive access according to their portal role. Assigned servants or teachers may view approved rosters connected with the programs they serve. Student-to-student messaging and public student profiles are not part of the Family Portal.
